Overview

 

The Administrative Assistant will perform a variety of administrative and clerical tasks and provide support to supervisors, co-workers, and employees. Will assist in carrying out daily office needs and manage general administrative activities in order to facilitate efficient operation of their division.

 

Responsibilities

  • Answer and direct phone calls
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Schedule and organize meetings, travel, conferences, and department activities
  • Utilize software including Viewpoint and PVault, including data entry
  • Assist in the preparation and delivery of regularly scheduled reports
  • Maintain an efficient filing system
  • Scan business related paperwork into imaging system and attach/index into proper file
  • Process ingoing and outgoing mail

Qualifications

 

Physical

  • Occasionally required to lift up to 25 pounds
  • Regularly required to talk or hear
  • Frequently required to walk, sit, and reach with hands and arms
  • Subject to repetitive use of hands/arms
  • Occasionally required to stand, stoop, kneel, crouch, bend, use hands and fingers to handle and feel
  • Vision requirements include close vision, distance vision, and ability to adjust focus
  • Will need to be able to perform sedentary work

Mental

  • Must have the ability to direct others and communicate effectively with other management/ supervision
  • Talking and reading & writing comprehension is necessary for giving and receiving directions to perform work and/or safety policies
  • Ability to use math/complete calculations
  • Must be able to concentrate amid distractions and remember details
  • Must have attention to detail and problem solving skills
  • Ability to use computer, keyboard, telephone and other office devices
  • Ability to hold information in strict confidence
