Document Control Specialist (Engineering)

 Job Scope: The primary responsibility of this role is to oversee information management / document control project services on multiple projects from the initial proposal stage to the final project closure phase. These projects are typically defined by specific guidelines and procedures. Additionally, this position provides support to the department as a whole, including the discipline leads and project managers. The work is conducted under general supervision.

 

Experience: This position requires 10+ years of relevant industrial experience in document control and administration. 

 

Required Knowledge, Skills, and Abilities

  • Proficient in office administration procedures and their practical implementation.
  • Skilled in utilizing Microsoft Word, Excel, PowerPoint, and Outlook.
  • Meticulous attention to detail, ensuring precision in tasks.
  • Exceptional proofreading and grammar skills.
  • Effective communication abilities, both written and verbal.
  • Commitment to maintaining confidentiality across all areas of work.
  • Ability to thrive in a fast-paced environment, handling multiple tasks simultaneously.
  • Strong prioritization skills, enabling efficient task management.
  • Accurate development and generation of reports.
  • Active listening and understanding of the needs of leaders, teammates, and clients, proactively addressing these requirements to meet critical deadlines.
  • Skillful in researching and conveying accurate information.
  • Willingness to work flexible hours when necessary.
  • Familiarity with working within company or Owner EDMS systems is preferred.

 

Primary responsibilities will include but are not limited to:

  • Drafting and preparing project correspondence and transmittals.
  • Utilizing technical writing skills to assist with, technical documents, and proofreading them.
  • Scheduling project and client meetings, making necessary arrangements.
  • Providing support services such as filing for project-related information.
  • Ensuring meeting spaces maintain a professional appearance.
  • Actual compensation will depend on factors such as education, experience, skill set, and location.
